Email subscriptions

With Safeture, you can choose to activate different e-mail subscriptions for information of various kinds. The email subscriptions you can activate are:

  • Personnel in incident region email
  • Pre-trip email
  • Alert report email
  • Risk trip warning email
  • Travel Booking Overview email
  • Missed scheduled check-ins email
  • Email parsing issues
  • Dashboard Overview email
  • E-learning progress email
  • Emergency button notification email

Personnel in incident region email

An email subscription for administrators to be notified when they have personnel (users or facilities) in the vicinity of an incident. The email contains information about the associated published alert and a list of users and/or facilities that are near the incident region. Through the email subscription, the administrator can receive information such as: 

  • Name of user(s)
  • Phone number
  • Email address
  • Current country
  • Is abroad/in the home region
  • Distance between user and incident location
  • Tracking method
  • Last known booking
  • Next known booking

The email can be sent out for all kinds of alerts, either regardless of the risk level or for a specific risk level. Furthermore, this information can be configured to be sent via SMS as well. 

How do I activate this subscription?

  1. Starting in the Safeture Platform (Web Portal), click on your account name in the upper right corner. 
  2. Select “Settings”, then go to the widget called “Notification settings”.
  3. Click on “Alert reports” and make your subscription choices.

Pre-trip emails

Prior to the departure of a trip, it is possible to have pre-trip information sent to the traveler(s) in question via email. Included in the email is information about the following: 

  • Booking reference
  • Flight/train/rental car/hotel information
    • Note: these are the segment types that can trigger an email dispatch.
  • Change in the risk level of the traveler’s destination

The email dispatch can be triggered by the following three processes:

Directly when the platform processes newly added bookings

With this process, the email receiver could be presented with information about several PNRs in the same email. This is dependent on two things;

  1. When the process is run in the system
  2. What information has been sent before

A change in the risk level for the current destination

Should the risk level for a location change, the Safeture Platform can trigger an email to users with registered PNR information in the affected area. This means that the email could be sent to:

  1. Users that have not yet started their trip
  2. Users that are currently in the affected area of the published alert

Note: if there has not been a change in the risk level of a certain destination, information about the risk level status will not be included in the pre-trip email. 

Scheduled time entries specified in the booking

A user can receive emails about his or her trip, based on data (registered time entries) from the travel booking in the platform. It means that the system resends the pre-trip email for each registered PNR.

Blacklist regions

The Platform can be set up not to send pre-trip emails for specific regions. This is done by defining a blacklist.

How do I activate this subscription?

The configuration of this email automation is usually set up during the onboarding phase of getting the Safeture Platform. However, it is possible to configure it afterward.


Alert report email

Traveling users can receive alerts via email. The email is triggered for any users, both end-users with the Safeture Mobile Application installed and traveling users added to the platform via a PNR (Passenger Name Record). 

The alert is sent when the user has a booking to or from the area where an alert has been published.

Traveling users will receive the alert:

  • For departure locations (i.e. outbound airports)
    • 24 hours before, and 4 hours after, the scheduled take-off.
    • If the published incident radius is within 5 km of the booking location (airport/hotel/rental car) or if the region of the booking location matches a region of the alert.
  • For arrival locations (i.e. inbound airports, hotels, etcetera.)
    • 72 hours before scheduled take-off.
    • If the published incident radius is within 50 km of the booking location (airport/hotel/rental car) or if the region of the booking location matches a region of the alert.

How do I activate this subscription?

This email subscription is activated together with the Client Development team at Safeture. At the time of activation, you also decide at which lowest risk level you want to receive alert report emails.


Risk trip warning email

With Safeture, it is possible to subscribe to automatic emails containing information about new high-risk travel bookings that have been added to the platform. In other words, the email subscription is a channel – in addition to the “High Risk Travel Bookings”-widget in the Dashboard – through which you can get information about how many of your users have this type of planned booking. In specific, the email includes information about the following: 

  • Konto
  • Date
  • Departing location
  • Destination
  • Contact information for the traveler

How do I activate this subscription?

  1. Starting in the Safeture Platform (Web Portal), click on your account name in the upper right corner.
  2. Select “Settings”, then go to the widget called “Notification settings”.
  3. Click on “Email subscriptions” and activate Risk Trip Warnings.

Travel Booking Overview email

The Travel Booking Overview email is a subscription that can be sent to travelers and contains information about upcoming trips. When activating this subscription, you will receive a daily send-out with information about travel bookings and current issues. In specific, the email will cover information about the following: 

  • Which account the email applies to
  • Total PNRs
  • PNRs with issues
  • Duplicate email
  • Missing emails
  • Blacklisted emails
  • New travelers
  • Matched travelers

How do I activate this subscription?

  1. Starting in the Safeture Platform (Web Portal), click on your account name in the upper right corner.
  2. Select “Settings”, then go to the widget called “Notification settings”.
  3. Click on “Email subscriptions” and activate Travel Booking Overview.

Missed scheduled check-ins email

One feature that supports People Risk Management is the so-called “scheduled check-ins”.  More information about the feature can be found here. The email will inform an administrator of the following information: 

  • Name of the traveler who missed the check-in
  • Last check-in
  • The requested check-in time

This email subscription will be sent to an administrator as soon as a scheduled check-in has been missed by a traveler, allowing the administrator to take immediate action if necessary.

How do I activate this subscription?

  1. Starting in the Safeture Platform (Web Portal), click on your account name in the upper right corner. 
  2. Select “Settings”, then go to the widget called “Notification settings”
  3. Click on “Email subscriptions” and activate Missed Scheduled check-ins.

Email parsing issues

Administrators can subscribe to emails with information about email parsing issues. You can read more about email parsing here. If any failed attempts to integrate travel data have happened, the administrator will be notified through the email subscription that there is parsed travel data that is incorrect and the cause of the error.

How do I activate this subscription?

  1. Starting in the Safeture Platform (Web Portal), click on your account name in the upper right corner.
  2. Select “Settings”, then go to the widget called “Notification settings”.
  3. Click on “Email subscriptions” and activate Email parsing issues.

Dashboard Overview email

Administrators can subscribe to email send-outs that summarize their Dashboard and generates an overview of the information that populates the dashboard on a daily basis. It can include information about: 

  • Travelers
  • Alarmsignale
  • etc

How do I activate this subscription?

  1. Starting in the Safeture Platform (Web Portal), click on your account name in the upper right corner. 
  2. Select “Settings”, then go to the widget called “Notification settings”.
  3. Click on “Email subscriptions” and activate Dashboard.

E-learning progress email

This is an email subscription is for users to notify them on their e-learning progress. In practice, it means that when a user completes an e-learning course, he or she will get a confirmation email which includes the following:

  • Completed e-learning course name
  • A PDF file attached containing the module content

How do I activate this subscription?

The e-learning progress email is automatically activated for all accounts with the e-learning module accessible in their Safeture Platform.


Emergency button notification email

Administrators have the option to be notified when a user of theirs have used the emergency button in the Safeture Mobile Application. The email subscription is an optional information channel in addition to the emergencies widget in the partner Dashboard (Web Portal) where the information also can be found.

Displayed in the email is the following information:

  • Account information
  • Subscription ID
  • Assistance button
  • Name of user
  • Phone number
  • Email address
  • Latest known location

How do I activate this subscription?

  1. Starting in the Safeture Platform (Web Portal), click on your account name in the upper right corner. 
  2. Select “Settings”, then go to the widget called “Notification settings”.
  3. Click on “Emergency button notifications” and activate emails for selected accounts.

Note: an administrator can be responsible for multiple accounts, which is why you have to activate the subscription separately for each account.
